Course overview
Procurement decisions based only on purchase price can conceal major costs in freight, installation, quality failures, inventory, energy use, maintenance, downtime, supplier management and disposal. This course equips procurement professionals to replace price-only comparisons with a defensible total cost of ownership (TCO) view. Participants learn to quantify the full economic impact of sourcing alternatives, identify cost drivers that sit outside the purchase order, and present recommendations that finance, operations and technical stakeholders can audit.
The course covers TCO scoping, cost breakdown structures, lifecycle costing, activity-based cost allocation, supplier-data collection, assumptions management, sensitivity analysis and scenario modelling. Participants build models for capital equipment, direct materials and outsourced services, then use them to compare supplier bids, assess make-versus-buy choices and support negotiations. They practise separating recurring from one-time costs, calculating discounted cash flows, testing volume and inflation assumptions, and distinguishing measurable costs from risks that require qualitative treatment.
Delivery combines instructor-led method demonstrations with spreadsheet modelling workshops, procurement cases and review sessions modelled on an investment-approval meeting. Participants work from a supplied Excel template and progressively adapt it to a realistic sourcing case. They leave with a completed TCO model, a documented assumptions register, a supplier comparison dashboard and a concise recommendation pack that can be adapted for their own category, tender or business case.
The course is designed for procurement and supply chain professionals who already participate in sourcing, supplier evaluation or contract decisions and need a more rigorous commercial-analysis method than lowest-price comparison.

Requirements and prerequisites
Participants should have practical experience of purchasing, sourcing, supplier quotations or contract evaluation, and be comfortable reading a basic supplier bid or costed bill of materials. The course assumes confidence with Excel fundamentals, including formulas, cell references, sorting and simple charts; participants will work with structured spreadsheets during the programme. Familiarity with procurement concepts such as RFx processes, specifications, payment terms and supplier evaluation is useful. Prior study of finance, accounting, discounted cash flow or advanced Excel functions is not required: these are introduced and applied within the TCO method.
Training methodology
The instructor introduces each TCO method through short worked examples before participants apply it in Excel to a continuing sourcing case. Workshops cover cost-breakdown design, data validation, lifecycle calculations, activity-based allocations and scenario testing. Small groups challenge one another's assumptions as procurement, operations and finance stakeholders would in an award review. Participants analyse supplier quotations with differing freight, warranty, service and payment terms, then refine an individual application plan. The final session is a recommendation workshop in which each participant presents a TCO-backed sourcing decision.

Workshop: Participants map the lifecycle costs and data owners for a multi-year equipment sourcing decision and produce a scoped TCO cost breakdown structure.
Day 2: Building the TCO Cost Model
